Sales Support Coordinator/Assistant

PAY RANGE: $34.66-$42/hr 

 

QUALIFICATIONS & SKILLS:  
  • Experience in sales coordination, administrative support, or customer service, preferably in remodeling, construction, or home improvement industries. 

  • Proficiency in CRM systems (HubSpot preferred), Microsoft Office Suite, and calendar/email management. 

  • Strong organizational skills with the ability to multitask and prioritize. 

  • Excellent communication and interpersonal skills for client and team interactions. 

  • A proactive, problem-solving mindset and the ability to work independently.

KEY RESPONSIBILITIES: 

1. Lead Management & Sales Support: 

  • Prequalify and filter incoming leads to determine project viability. 
  • Maintain lead rotation and referral tracking. 
  • Assist in managing the sales pipeline ensuring timely follow-ups.
  • Double-check lead sources, including handyman vs. full remodel projects, project timelines, and design-build needs. 
  • Ensure timely client intake and onboarding to provide a seamless experience. 
  • Support proposal and estimate prepparation, ensuring documents are accurate and well-formatted. 

2. HubSpot & Sales Worflow Management: 

  • Serve as the go-to person for the sales team regarding Hubspot CRM. 
  • Create and maintain workflows to streamline sales processes. 
  • Ensure CRM data accuracy, auditing contact details, project timelines and lead statuses. 

3. Salesperson-Specific Events & Client Engagement: 

  • Assist individual salespeople in planning and executing client focused events to build relationships and drive referrals, including: 
    • Open houses showcasing completed projects for referrals and new leads. 
    • Coordinate logistics, invitations, and follow-ups for salesperson-hosted events. 
    • Manage gifting & appreciation touchpoints. 

4. Sales Manager Assistance: 

  • Maintain the sales agenda, scorecard and closing percentage documents. 
  • Track sales KPIs, including conversion rates, sales cycle length, and revenue forecasts. 
  • Prepare & organize the sales meeting room before scheduled meetins. 
  • Conduct competitor research to keep the team informed on market trends and industry prcing. 
  • Assist with sales training & development, sourcing new resources and managing training logs. 
  • Support sales calendar management, ensuring meetings, follow-ups, and events are scheduled efficiently.

5. Sales Assistant Responsibilities: 

  • Manage email and calendar scheduling for the sales team. 

  • Map out design project timelines and provide scheduling support. 

  • Work closely with the project team to ensure a smooth handoff from sales to design and construction. 

6. Other support as needed. 

 

 

 

Finance Assistant 

PAY RANGE: $38-$42

ReSPOSIBILITIES
  • Process and verify invoices, ensuring they are accurate and comply with company policies. 
  • Enter invoices into the accounting system for approval and payment processing. 
  • Reconcile accounts payable transactions and resolve discrepencies with vendors and internal departments.
  • Maintain vendor files and update contact information as necessary. 
  • Respond to vendor inquiries and provide timely and professional customer service. 
  • Monitor and maintain accurate records of outstanding accounts payable. 
  • Assist or fill in for accounts receivable when needed to post client payments, run statements, and upload files to client's cloud, and other items as necessary.

Experience

Job Description: 

This role is responsible for the daily job-site production of all construction as drawn. The Project Lead  supervises Gaspar’s personnel & Sub–Contractors for all projects as assigned, and is responsible for the completion of carpentry and other tasks as necessary to complete the project.  They are responsible for facilitating and adhering to the production schedule and ensuring all work is completed on time and with exceptional quality. 

The Project Lead is responsible for ensuring that jobsites are maintained in a safe and orderly condition and that all Gaspar’s and industry recognized safety guidelines are followed by Gaspar’s personnel, all Subcontractors, and other workers.  This person will maintain field records (jobsite binder and lead packet) for all assigned projects, including receipts for materials and equipment delivered to the jobsite.

Responsibilities:

  • Ensure assigned jobs are completed on schedule and personnel and Subcontractors are producing according to what was estimated.
  • Identify and report any changes in scope, schedule, and conditions weekly to the Production Manager
  • Weekly safety job inspections and safety meetings logged in Safety Log Book, and all other jobsite safety requirements.
  • Client satisfaction and company reputation enhancement in the community.
  • Address and resolve challenges regarding the Jobsite, Subcontractor, or Client within 24 hours
  • Oversee and assist with all phases of Demolition, Rough & Finish Carpentry performed by Gaspar’s crew.  
  • Complete all phases of construction better than “industry standard” and insist on a high 100% completion and owner satisfaction on the “Completion List” leaving zero items to be finished by others.
  • Lead site safety protocol per company Safety Plan, including weekly site inspections and site meetings. Stay current with First Aid and CPR certification.
  • Consistent level of quality from everyone working on the project.
  • Complete understanding of plans, specifications, and estimate.
  • Schedule & supervise work performed by subcontractors    
  • Maintain personal time records and job reports.
  • Create material lists, manpower & equipment requests, and schedule revisions for Production Manager.      .
  • Manageme labor based on Estimate.
  • Minimal warranty issues. 
  • Follow Tool checkout procedures.    
  • Schedule necessary inspections.
  • Attend all client site meetings.
  • Manager: Jobsite day to day operations.
  • Maintain a very clean and organized jobsite and including jobsite office area.
  • Maintain “Green” building practices as outlined in the job’s estimate and company policy.

Qualifications:                                                 

  • 2-5 years of hands-on residential construction with advanced carpentry skills, tool set, and appropriate vehicle.
  • Comprehensive knowledge in Framing, Windows, Doors, Siding, Cabinet Installation, and Finish carpentry.
  • Basic understanding of all subcontractor phases related to residential remodeling.
  • 1 year of proven supervisory tasks or jobs completed successfully as a Superintendent, Lead or their assistant, including meeting with inspectors and homeowners.  
  • Proven record of safely working in and around other trades with the ability to lead, promote and enforce safety on a jobsite.
  • Proven effort of jobsite waste reduction, Green building methods or ideas, and desire to promote and maintain jobsite recycling and Green building practices. 
  • Maintain a valid Washington State Driver’s License in good standing
  • Proven project management skills.
  • Strong organizational, analytical, and interpersonal skills.
  • Creative and innovative writing ability, including proofreading and editing for grammar and punctuation.

Handyman Division Manager

PAY RANGE: $93,000-$116,000 annual

The ideal candidate will have a strong background in construction and home repair, with the ability to handle a variety of tasks efficiently and effectively. As the Handyman Construction Lead, you will be responsible for assessing repair needs, overseeing the repair process to ensure timely completion and customer satisfaction.

  1. A strong and thorough understanding of the industry and home systems.
  2. MUST have at least 5 years’ experience in residential remodeling and 10 years in the trades.
  3. Ability to instruct others.
  4. An ability to work independently and make decisions.
  5. A valid license and a clean driving record.
  6. Must have the necessary power and hand tools to perform basic home maintenance.
  7. Able to pass drug and background check.
  8. Basic administrative, computer and arithmetic skills to accurately prepare invoices and track paperwork.
  9. Strength, balance, and agility sufficient to work at gutter-level heights, dig postholes, and move around in confined spaces such as attics and crawlspaces.
